TERMS AND CONDITIONS

BOOKING PROCEEDURE

A booking form can be found in on our web site. Please print off the booking form and send it, with your deposit, (see below) to RM Tours, 31 Oberon Close, Borehamwood, Herts, WD6 5RU, United Kingdom.

On receipt of your booking form and deposit we will, subject to availability, confirm your holiday by sending you a confirmation invoice. At this point a binding contract comes into existence between us. On receipt of this invoice please check the details carefully and contact us immediately if any of the details are not correct. We regret we cannot accept any liability if we are not notified of any inaccuracies.

PAYMENT

In order to confirm your booking, a deposit of £250 ($450) must be paid at time of booking by cheque made out to RM Tours. The due date for the balance will be shown on the invoice that will be sent confirming your holiday. The balance of all bookings must be paid 12 weeks before the holiday is due to commence. If the balance is not paid then the booking will be deemed to be cancelled.

Please note that failure to arrive at the scheduled time and place of departure the total price will be payable in full.

CANCELLATIONS

Cancellations can only be accepted in writing from the party who has signed the booking form. It will take effect at the time of receipt at the offices of RM Tours. In the event of you cancelling your holiday the scale of charges are as follows:

Period before departure Cancellation Charge
Over 60 days 100% of the deposit
1 to 60 days 100% of the final tour price
On day of departure 100% of the final tour price

If it becomes necessary for us to cancel the tour then all deposits and any other payments will be refunded in full.

INSURANCE

It is a condition of booking that all clients take out holiday insurance for the time of the holiday. Please ensure that your insurance provides adequate protection for your needs, e.g medical/repatriation expenses. Please send us a copy of the same with their deposit or when the balance is paid.

PASSPORTS

It is your responsibility to ensure you have a valid passport. It should be valid for at least six months after the duration of your holiday. We cannot accept any responsibility for your failure to comply with these regulations.

ACCOMMODATION AND MEALS

We use comfortable, good quality hotels with on-suite facilities. These are all inclusive holidays therefore all meals are included. Picnic lunches will also be supplied. Although we do all we can to use the hotels mentioned in the itineraries, we reserve the right to change the accommodation to hotels of a similar standard if circumstances dictate.

SHARING

It will be noticed that there is a single room supplement for people booking alone. We are happy to arrange people of the same sex in the party to share for the sake of company or economy. If you are travelling alone and prefer to share then please notify us on your booking form. However, it should be noted that if no room mate is available then you will accept the single accommodation and pay the single room supplement.

TOUR ALTERATIONS

As circumstances can change, such as weather conditions, bird movements etc, RM Tours reserves the right to adjust the itinerary.

SURCHARGES

The tour prices are calculated well in advance and cost increases can sometimes occur. We reserve the right to increase the price of your holiday subject to increases in such items as aircraft fuel, transport charges etc.

LIABILITY

We have taken all reasonable steps to ensure that all the arrangements for your holiday are properly arranged. We will accept liability as a direct result of negligence or breach of contractual duty in making arrangements for you. No liability will be accepted arising out of carriage by sea or air or additional expenses such as transport delays, weather, and strikes. Further no liability will be accepted in the event of war, terrorist activity, natural disaster and others know as "force majeure".


COMPLAINTS

In this unlikely event you should notify a party leader/guide as soon as possible in order that we may assist you. If you are still not satisfied then we ask you to write to us with the details of your complaint within 30 days of the completion of your holiday.


DISABILITIES AND MEDICAL CONDITIONS

It should be noted that although our holidays are not physically strenuous they may however not be suitable for certain people with certain disabilities or medical conditions. Should any member of your party have a condition or disability that could affect their holiday then you must provide full details. We regret that we must reserve the right to decline any booking whenever we feel unable to accommodate the needs of any particular client.

JOINING THE TOURS ON A LAND ONLY BASIS

Those wanting to join one of our tours on a land only basis are welcome do to so. Please indicate this on your booking form and further point out whether you will be joining the party at the airport or at the hotel. Prices for these arrangements will be given on request. Important: Land only clients need to ensure that they reach the arranged joining point in good time and at least one hour before the rest of the party arrive. Please note we cannot accept responsibility if you do not arrive on time and the holiday begins without you. Also we cannot accept responsibility form any additional expenses incurred for accommodation or travel arrangements for you to catch up with the tour.
